Santa Clara County 4-H Council Executive Board Meeting

April 1, 2010
Called to order at 7:33 pm

May meeting - Where? South County?

Carole MacNeil will be in the county on May 8. 
Lunch at 1:30 with about 24 people. 
Tour of the Rolling Hills farm. 
6:00 - meet at meeting place. Pizza for teens and other members. Carole speaks with them. 

Fees are not going up this year thus we don't get the program rep.
Hewlett grant expired in January so Fe's science project is finished. She is still working with a few youth on the topic. She is taking them on a tour at IBM where they will speak with some Latino engineers.
Fe is planning on taking 10 young people to a training session developing a community forum. They will learn facilitation and how to frame a question. She is aiming at youth violence.

Food booth update
Schedule - still lots of available dates. 
Concrete pad - Barone's have volunteered to grade the site and to help lay the pad. Need to check again on location, electricity, water, etc. Aim at April 21 for pad? 
Kevin needs to talk to Carol about golf carts and the location. We need to talk to the fair about the holding tank and storage. We need to check with Carol on admission credentials, parking, etc.
Construction day(s) - Concrete pad - April 21, April 29 as first construction day.
Training days - May 9 and 10, 7-9
Equipment - need to buy a grill
Takedown needs to be scheduled.

Allstar
Allstar selection has been changed to be more like Diamond Star selection. There will be a selection day and letters will be mailed. The Allstar banquet will be June 30, selection day will be June 9.
Vicky passed around a new application, a scoring sheet and a list of responsibilities. This new procedure is meant to align the county with current state policies.

Beach cleanup is being moved to April 22 at Rio Del Mar beach in Aptos 10 am to 1 pm.

Ropes course on June 2.

Camp
Staff is doing well for training
Staff agreed to do Clover Camp at camp on Tuesday, July 31. Shilo Satrain will coordinate clover camp. Each family will adopt clovers. They will arrive mid morning, have lunch, participate in activities in the afternoon, have dinner, and participate in the beginning of campfire.
Camp staff day at food booth on May 11.
Camp Loma clean-up April 28.
Camp applications will be available mid April. They will be due June 15.

Small Animals
John needs a set of small animal member labels for the Field Day flier.

Fashion Review and Favorite Foods Day
Good particiation. 

Engineering Sciences
We have a small group working on a new version of the county web site. 
We discussed the various county email lists

Citizenship Overnight
June 26-27 at Trudy's house. Trudy and Debra are setting things up. Planning meeting is May 24. For High School age youth.

Key Leader
We need to be more careful about setting dates early enough to publicize events. We need to communicate to sectional and state 4-H to make sure notification comes out in a timely manner.
Sibby will take over Timely Topics starting transition in July.
Lonnie had gotten interest in "Share The Fun". She has 5 clubs thinking of coming. 
State is changing to having everyone fill out paperwork for reenrollment next year. 
Volunteer and Staff training at Davis. They spent one day on learning. There were representatives from risk management and affirmative action. There were many activities including Q&A sessions and curriculum review.
