Executive Board Meeting Minutes
Tuesday, August 13, 2002
Attendees: Vicky Bosworth, Dan Chitwood, Gary Lang, Deborah Lang, Hans Toensfeldt, Lonnie Toensfeldt, Tim Oey, Fe Moncloa, Ronda Rastler, Carol Jaques, John Haggerty, Trudy Jones, Kevin Wentzel
Called to order by President Vicky Bosworth at 7:30 pm.
The minutes of the last meeting were approved as posted
The treasurer's report was approved as submitted
President's report:
* Dates for trainings
Sept 20 or 27 Awards night
Oct 12, 9 to 12 CCL training day
Nov 2 Project Leader training
* Executive board retreat -> no venue identified, no date set.
* VP Dan Chitwood ->Dan has stated that he will be resigning as VP of Santa Clara County 4-H Club Council. President Vicky Bosworth will appoint someone to fill out the remainder of his term.
* An Award was presented to Tim Oey for contribution to the program above and beyond the call of duty. Tim's leadership of the county-wide Marketing project and his organization of the very successful 4-H Information Booth at the Fair are greatly appreciated.
* Fair wrap-up:
Animal shows issue: Since most of the shows occurred when the Fair was closed to the public, they couldn't see them. Many people complained about this. The shows which occurred on Friday and Saturday were not listed in the schedule handed out to the fair attendees, so there was no good way for the public to know when to be at the show ring.
The issue of no small animals at the Fair when public was there was discussed. Part of the problem may be the lack of reasonable cages in which to house the small animals.
Lonnie T will generate a memo from SCC4-HCC to FMC about comments on Fair. Comments need to be in to Lonnie by end of August.
* Food booth -> Good revenue; no final numbers yet. All profit goes to the clubs who supported the Food Booth with their time.
* Jr stills -> Not many entries, but there was a good crowd which looked at the items, not just walked past.
* Awards night -> All Stars did a good job. Better set-up this year than last. A suggestion was made that a letter of thanks from Council be sent out to donors of the awards, in addition to the thank you letters from the recipients.
Other Reports:
* Camp -> Camp was great. Change in Clover day helped with some of the issues from last year. Most of the campers were involved with regular camp activities, rather than participating with the Clovers.
Need two new adult camp directors for next year who can get trained up by Kevin. Dan is not going to work on camp next year.
Also, need to find a new cook for next year. This was Anita's last year as cook.
* All Stars -> They are available for officer installations at the clubs. Next Monday is an orientation meeting for the team.
* CE office -> State 4-H Mission statement? How many have read it? (very few)
Three criteria for projects to focus on: Diversity of offering; experiential learning; Citizenship, leadership or life skills basis.
A discussion followed on how much research has gone into HOW to implement diversity. How are we supposed to do it? No good answer yet.
* Key leader -> Cargo unit may be on its way through Mary Bartlett. $1600 delivered. John H moved and Kevin W seconded to spend the funds for the cargo unit. Motion was passed
* Club closing -> It is likely that another club will not continue, and its members will merge with another club.
* Marketing group -> Information Booth at Fair: It was very effective to have young members present the survey to the public when they arrived at the Fair. There were many families that took advantage of the Information Booth to learn more about 4-H Youth Development Program in Santa Clara County from the 4-H members manning the booth.
Tim described the idea for giving 4-H pencils to all kids in schools in Santa Clara County.
SCC4H Yahoo! Email Group issue -> when people register for 4-H, if they provide their email address, they will have their address added to the SCC4H Yahoo list. This will be explained to the new participants by Club Leaders, and if they wish to have their email address removed, the process for doing so will also be explained.
Old business
* Youth Leadership Summit/State Leadership Conference -> 17 Santa Clara County participants, including 4 adults. The first time youth participants were very energized by the experience. The whole group has committed to participate in a one-day workshop similar to A.U.S.T.I.N. Powers workshop from last year, as well as in the County Leadership Conference. Two college freshmen also committed to support those efforts, even though they will be off at UC Davis.
Two Santa Clara County 4-H members are part of the State 4-H Computer Corps, and did a great job with their participation in various aspects of the
SLC.
