Santa Clara County 4-H Club Council
Exec Board Meeting Minutes
2002-12-10

Attending: Vicky. B., Hans and Lonnie T, John H., Tim O., Deborah and Gary L., Carol J.

"Top Secret" was this past weekend. It went well, but the duration of the conference may have been too long for the attendees.

Special Finance Committee
Worked out how to deal with the Burrel Leonard endowment and Charles Kuhn fund. Standing committees shall be set up to handle the requests and the advertising for these grants and disbursement of these funds.
Motion by John, seconded by Tim to accept these recommendations and pass on to SCC 4-H YDP Advisor for her signature. Motion passed. Documents signed by the Council President, Treasurer and Secretary. Treasurer to deliver to CE Office for YDP Advisor's signature.

Marketing
Motion to approve "The 4-H Way" (with the inclusion of the term "Racial") to Council for their endorsement by Lonnie and seconded by Deborah. Motion passed.

Marketing issues with funding of the County T-shirts. Treasurer (Hans) has trouble with a separate account for the T-shirts. Presently under the Program Development (aka Program Rep) account.

Motion to assign the T-shirts to the VP position. Motion passed.
Moved to have a budget line item of $500 be established for the PR chair. Money could be used to pay for the publications, flyers, etc.
Motion passed with one nay vote.

Food Booth
Lonnie asked, "Do we (Council) want to have a food booth, and how do we get it going again for the next Fair?" Discussion centered on how to get someone to chair that committee.
A signup will be sent around at the January council meeting for participants on the Food Booth Committee.

Adult Leadership
Volunteer hunter. How do we get more people to help out?

National 4-H Conference
Tim is about to determine if he will go as chaperone to the National Conference. He suggested that to commit to this will require him to curtail some of his local 4-H work, since there is a large time committment if he does decide to volunteer to go.

Meeting adjorned shortly after 9:30. I'm not sure exactly when, since my watch was frozen.

Respectfully submitted
