New Business
-County Fair Discussion
Lonnie Toensfeldt is now on the Fair Management Corp. board. Her report follows. Note that the sheep rules on tail length must be certified by a vet to be able to bring the sheep into the show.

Lonnie's report:

Tuesday, January 8, 2002

To: Santa Clara County 4-H Council
From: Lonnie Toensfeldt, Key Leader

On Wednesday, December 19, 2001, Bob Towle, Vicky Bosworth and I met with Eileen Jimenez, Exhibits Manager for the Fair. The following information was developed during that meeting. Those items with an * are not for publication prior to March 1st, as they are proposed and have not yet been approved.

The Exhibit Book and forms will be published (approximately March 1st) on the Fair web site at <www.thefair.org>. There will be no hard copy printed or mailed. Hard copies of forms will be used for entries.

*The proposed "official" dates for Fair will be Friday, August 2nd, through Sunday, August 4th. It is proposed that there be no admission fees or credential fees. Parking fees would be charged for Friday through Sunday. There will be free parking and admission during the week prior to the opening.

Junior Livestock will essentially see no changes. Receiving will be on Monday with show dates during the following week. The Auction would be held on Sunday. [Tues/Swine; Wed/Sheep; Thurs/Beef & Dairy Cattle; Friday/Goats; Sat/Round Robin]. As there are only 20 available horse stalls, shows will be trailer in/out. Fair horse shows on Wednesday and Thursday, with Friday and Saturday available for 4-H shows.

Special Livestock note: All sheep exhibitors MUST have a vet certificate for tail docking verifying compliance with the state rules and provide it at weigh-in.

Further notes on Auction: Recommend members write Thank You notes before the Fair. Have separate table for buyers thank yous, etc. Also, there will be NO premiums offered for market livestock not going through Auction as in the past. The question of premiums for Dairy Goats, Dairy Cattle and Showmanship has not been resolved.

RV area will be available, however there will be NO electricity, only water. Users need to make own arrangements for sewage disposal/pumping (a contractor will be on site). There was discussion of a Pot Luck dinner prior to the opening of Fair for exhibitors and their families (we "own" the livestock area prior to opening).

Junior PPR will be cage carry shows (single day): Tues/Rabbit; Wed/Poultry; Thurs/Cavy; Fri/Pygmy Goats; Sat/Round Robin]. PPR shows will be held in the former Beef tent. Both Large Animal and Small Animal Round Robins will use college judges as in the past. Day for Dog Show has not been identified and is contingent on finding a location. (Possibly on grass behind Administration Building?) Question: What will be on display for the public?

There will be no garden competition this year as it is too costly and it has been difficult to find competitors.

All stills will be displayed in Gateway Hall, including Juniors, Home Arts and Fine Arts (which will probably be a "juried show"). Vicky proposed changes to the way exhibits are judged: one on one with judge, or open judging. A great deal of help is needed in this area. All exhibits will be mixed (no separate area for Juniors).

We are being encouraged to have the Food Booth open Monday through Sunday. We are also being encouraged to provide "breakfast" as there will be no other booths open Monday through Friday morning. We will have to pay a higher fee than in the last few years. They anticipate more community oriented vendors with a three day fair.

We also discussed the possibility of using the grass area behind the Administration building for the Awards program and possibly the dog show and the exhibitors dance. Question? How to i.d. exhibitors with no credential wrist bands. Alternative site for dance would be the Horse Arena.

Eileen is reviewing the Exhibits Book to adjust categories and entries. For example, since the number and quality of entries for Senior Sewing has declined, this category will be eliminated. Eileen will provide Coordinators with copies of the DRAFT book information by January 8th, 2002. Review and revisions should be returned to her as soon as possible.

This was a very positive meeting with a great deal accomplished. We appreciate Eileen taking the time to meet with us.

Postscript:
The Board Room/Hospitality Room will be used as the Livestock Office during Fair. There will be no Hospitality facility offered.

The warehouse next door to the Board Room will house the Sheriff's Office and First Aid during Fair.
