Santa Clara County 4-H Executive Board Meeting
June 12, 2001
Reports
Fe
Sending two teens to the Leadership Summit and State Leadership Conference. Jim Buckley will be chaperone.
Fe has started a new "public policy" project working with 11 kids from Gilroy HS. She is enrolling them in 4-H. They will conduct community forums on "tolerance" in Gilroy. They will be going to the public policy institute at UC Davis next week.
Medalist Testing on Dog Care and Training - Kathy Craft wanted a study guide printed and distributed to all of the kids who were interested. Fe objected to a last minute study guide. Shouldn't the kids have learned the material during their time in the projects? Long discussion on what goes into a medalist test, what preparation material is needed, where questions come from, and what leaders should teach in their projects.
Vicky suggested that we move the discussion to the awards committee meeting. Awards Committee meeting - August 20, 7:30 pm.
Officers training for south county August 25 from 10 - 12 am. at the commonwealth room in Morgan Hill.
Community Club Leader training September 15. Project leader training November 10.
Small Animal
Novice small animal round robin. We had one this year because the kids had been told there was one.
Overall the fair was a mess for small animal events.
Pigmy goats in small animal round robin. Fair pushed it in however it is not in the state small animal round robin.
Lonnie - We need to be aggressive about getting information into the fair entry book. We need written input and proof that the fair received it.
Jim was pleased about the energy and excitement the kids had.
Question - will there be a small animal field day with medalist testing? John will find out and get information to Lonnie and Dan.
Social Science
County Citizenship focus will be June 26-27. Tuesday they will visit fire station, jail, radio station KSJO, Amdahl. Wednesday will be valley med, water treatment plant, NASA. They need additional participants. Cost will be about $35.
Share the Fun - Christina Baldwin will put on a share the fun at Hyde Jr. HS in August. Planning meeting June 19.
Engineering Science
Computer project back together for the summer
Robotics, junkyard challenge - make a mouse trap powered car out of junk.
County printer looking for kids skilled in computer graphics. Lonnie will send out more information.
Can we get some way to bring more of the engineering science projects to come back? What are the issues?
Camp
Camp is looking good - still some openings however we expect it to be full. Fe is concerned about staff thinking about "politically correct" activities. Fe plans to attend June camp staff meeting.
Allstar
Allstar selections have been made. 5 allstars chosen. They are: John Seals, Chris Savage, Mason Hill, Rachel Teagle, Heather Wilson.
Allstar reception will be Sunday July 1, 1:30 to 4:00 at the Eades home in Morgan Hill.
Awards
Fair went well due to help from several volunteers. Jim wants to review medalist testing.
Key Leader
Fair wrap-up - There is a good chance that the fair will be moved back to July/August. The livestock area will stay for at least one more year. There is a question on the 2003 fair. There is talk on moving the fair to south county. They may cut the fair to a 5 day fair. There was lots of vendor dissatisfaction this year (they didn't make money). Auction checks were mailed last Friday. The fair objected to the number of water fights among the 4-H members.
TT transition discussion.
Policy handbook is in the office and Lonnie has one. Good information in the appendices. Rita has developed a manual for the county on job functions and 4-H activities. Fe is working on it now. Should go on the web site.
Food Booth
Lonnie moved that the council cover $600 of food booth expense. Issue on shifts who did not attend training. Hans - should be a financial issue on clubs that don't have trained people there. Could we open up days like auction day for open signups? Extra credit for that day? Make training days more accessible? Have a food booth training somewhere else? Videotape a training session? Should we even continue to do a food booth at the fair? Should we find other ways of fund raising? Most kids seem to enjoy working in the food booth so it is a positive activity.
Vote at council meeting in September on council fundraising? Options - 1) every club participates, clubs that don't participate pay a fee of $200, 2) all clubs are accessed a fee and there is no county fundraising. 3) County develops a new fundraising activity. Should this discussion start at the community club leaders training?
Continue this discussion at the August executive board meeting.
Nominating Committee
Will meet next Monday at ?? house
Record Books
Record books due July 2. Judging will be that night. Each club needs to provide one leader per 5 books submitted.
Marketing Project
The marketing project was give a budget of up to $700 for their activities. Vicky has talked to Tim about the project. They are now using the county CE office copier. They are not currently planning to buy hosting.
Web Hosting
Should we buy web hosting and put all county activities on a hosted site? It would cost us in the range of $100 to $200 per year for hosting. John moved that we buy hosting for the county web sites. John moved that we buy hosting for the counties web sites and put both the county site and 4h4u on the same host funds come from program rep / marketing collection. Lonnie seconded the motion.
Fees
Do we need to lower our fees this year? Lonnie moves that we will not collect the additional $10 per member. Ronnie seconded. Passed.
